Caffeine Book Tours takes data privacy and data protection seriously. This commitment extends to both the content creators under the company’s team and the authors it works with. Kindly read through this page to better understand the policies and practices concerning data, information, and tour materials.

Information and Materials Collected

From authors and publishers:

  • Reading copies (physical and/or digital galleys)
  • High-resolution soft copies of author photos and book covers
  • Author media kits
  • Book information (e.g. synopsis, genres, trigger and content warnings)

From tour hosts:

  • Email addresses
  • Mailing information (i.e. names, addresses, contact numbers), if needed
  • Social media links
Author and Publisher Protection

Caffeine Book Tours does not engage in any illegal or unauthorized distribution of books and reading copies. All book tour sign-up forms include a clause that requires participants to agree to never pirate, copy, trade, or sell in whatever way, the review copy given to them for their participation.

Tour Host Protection

Caffeine Book Tours believes in the importance of protecting its tour hosts. It does not engage in selling data to third-party entities. All book tour sign-up forms include a clause that links to the company’s privacy policies and grants it permission to use their data explicitly for tour-related functions. Moreover, the following measures are employed:

Personal information (such as email addresses and mailing information) is encoded in a spreadsheet that is sent to the client for the sole purpose of distributing reading copies. Should the information be needed for other tour-related purposes, all tour hosts are immediately informed via email.

Throughout the duration of a book tour, links to all participants’ tour stops are compiled in another spreadsheet, which is also forwarded to the client for the purpose of accountability.

After the book tour, sensitive information (i.e. full names, mailing addresses, contact numbers) is promptly deleted. Email addresses, on the other hand, are kept for potential invites to succeeding relevant or related tours. However, individuals have the right to request for the deletion of their email addresses from CBT’s database at any time.
